Operations Manager

• Oversee Import and Export Operations: Manage and supervise the import and export operations team, ensuring efficient and smooth execution of all import and export activities, including documentation, customs clearance, transportation, and delivery.
• Compliance and Regulatory Requirements: Stay up-to-date with import and export regulations, customs laws, and trade compliance requirements. Ensure adherence to all applicable laws, regulations, and internal policies to avoid penalties or delays in shipments.
• Process Improvement: Continuously review and improve import and export processes to enhance operational efficiency, reduce costs, and minimize errors. Identify bottlenecks and implement streamlined workflows and automation solutions where applicable.
• Supplier and Vendor Management: Establish and maintain strong relationships with suppliers, vendors, and other service providers. Negotiate favorable terms, monitor service quality, and resolve any operational issues or disputes.
• Freight Management: Coordinate with, shipping lines, airlines, and trucking companies to ensure timely and cost-effective transportation of goods. Optimize freight rates, select appropriate carriers, and track shipments to ensure on-time delivery.
• Documentation and Record-Keeping: Oversee the accurate and timely preparation of import and export documents, including commercial invoices, packing lists, customs declarations, and shipping instructions. Maintain comprehensive records of all import and export transactions.
• Customs Clearance: Collaborate with customs team and brokers to ensure proper classification, valuation, and declaration of imported and exported goods. Monitor customs clearance processes, resolve any customs-related issues or delays, and ensure compliance with customs requirements.
• Risk Management: Identify and mitigate operational risks associated with import and export activities, such as supply chain disruptions, customs issues, regulatory changes, and transportation delays. Develop contingency plans to minimize potential impacts on operations.
• Team Leadership and Development: Provide guidance, coaching, and performance management to the operations team. Foster a positive work environment, promote teamwork, and facilitate professional development opportunities to enhance the team’s skills and capabilities.
• Collaboration with Internal Stakeholders: Liaise with internal departments, including sales, customer service, finance, to ensure seamless coordination and communication throughout the import and export process. Collaborate on cross-functional projects and initiatives to improve overall operational effectiveness.
• Key Performance Indicators (KPIs) and Reporting: Establish and monitor key performance indicators to measure the efficiency and effectiveness of import and export operations. Prepare regular reports for management, highlighting operational performance, trends, and areas for improvement.

1.Education and Experience:

Bachelor’s degree or above.

Minimum of 5 years of experience in import and export operations within the freight forwarding, logistics, or shipping industry.

Strong knowledge of local import and export regulations, customs procedures, and trade compliance requirements in Belgium.

2.Expertise in Antwerp Port Operations:

In-depth understanding of the operations and processes specific to the Port of Antwerp, including container handling, terminal operations, and vessel scheduling.

3.Import and Export Documentation:

Proficiency in preparing and managing import and export documentation, such as commercial invoices, packing lists, customs declarations, and transport-related documents.

Experience with electronic data interchange (EDI) systems and customs clearance software used in Belgium.

4.Customs Compliance:

Thorough knowledge of Belgian customs regulations, import duties, VAT, and customs valuation methods.

Experience in dealing with customs brokers and managing customs clearance processes, including handling customs audits and resolving compliance issues.

5.Team Leadership and Communication:

Strong leadership skills with the ability to manage and motivate a team effectively.

Excellent communication and interpersonal skills to collaborate with internal stakeholders, external partners, and authorities.

Fluency in English and Dutch, both written and spoken. Knowledge of French or other languages is a plus.

6.Problem-Solving and Decision-Making:

Proven ability to analyze complex operational issues, identify root causes, and implement effective solutions.

Strong decision-making skills to handle time-sensitive situations, prioritize tasks, and manage multiple projects simultaneously.

Proficiency in using relevant software and systems for import and export operations, such as freight management systems, customs declaration systems (e.g., PLDA), and warehouse management systems.

Willingness to work outside regular office hours, if necessary, to ensure smooth operations and address urgent matters.
